Administrative Assistant to Chief Executive Officer (Ref: R4477)

Accountabilities:
- provide full spectrum of administrative support to the CEO, including drafting replies to incoming correspondences, coordinating and compiling briefs for her meetings and appointments, serving as the one-stop contact point for enquiries and requests addressed to CEO and CEO’s Office, and preparing presentations and speeches for CEO’s speaking engagements;
- manage the preparation and facilitation of business meetings and appointments between CEO and major stakeholders of the Authority including Chairmen/Members of the Board and committees of the Authority, Government officials, Consulates, etc, accompany CEO at these meetings and take follow-up actions as appropriate including convening ad hoc internal meetings on CEO’s behalf and handle any related duties as directed by CEO;
- oversee the work progress of various task forces and steering groups/committees under the chairmanship of the CEO or meetings convened by the CEO, monitor actions taken by the divisions/departments and report progress to CEO. The job holders should proactively identify issues that could impact the timely and successful completion of the tasks and achievement of organization goals, tactfully identify ways of handling pressing issues, draw CEO’s attention to the relevant business risks and propose ideas to resolve problems or mitigate the risks;
- work and liaise closely with the business units and departments in delivering the CEO’s advice and instructions and ensuring their timely execution, seeking CEO’s direction on issues requiring alignment and conflict resolution;
- handle the Board/committee paper clearance process, ensure that the content of the draft papers are accurate and proper procedures and standing orders of relevant Board/Committees are followed before seeking CEO’s clearance/comments on draft papers for submission to the WKCDA Board, committees and subsidiaries;
- attend meetings of the WKCDA Board, relevant committees, subsidiaries and accompany CEO on duty visit as required by the CEO;
- plan, manage and conduct research projects on and policy reviews of specific topics as directed by the CEO, and coordinate inputs from relevant divisions/departments to facilitate decisions to be made by CEO; and
- perform any other duties commensurate with the position of Administrative Assistant to CEO and provide such services from time to time as CEO/the Authority may direct.
The ideal candidate should possess:
- a recognised university degree or equivalent;
- at least with 10 years of administrative or relevant experiences in large organisations with wide experience to support senior executives in steering strategic projects with minimum supervision;
- excellent research, presentation, interpersonal and communication skills and is attentive to details;
- excellent language skills in English and Cantonese/Putonghua (both written and verbal) and a knowledge of other languages would be an advantage;
- high level of proficiency in computer applications and with high awareness of confidential information; and
- be proactive, capable of working independently, professionally and with a high level of integrity.
