Responsibilities:
- Develops procedures for the transfer of digital files to the Document Management System (DMS) library; interfaces with the stakeholder’s office to ensure that publication meets project requirements
- Develops and documents procedures for digital file management, including web publication of bidding documents and internal distribution via DMS, and hard-copy file management, including handling of security-sensitive bidding documents and management of hard-copy archives store on and off site.
- Assist Project Manager and the project team with daily project administration, documentation, coordinate site purchasing and other documentation, assist in tracking purchase orders with approved vendors for material, machinery, equipment, tools, parts, and a spectrum of other supplies or services
- Trains and assists department personnel in the use of document management software; prepares end-user system documentation.
- Co-ordinate with Siemens AG on standard documentation if they are applicable to related BU
- Co-ordinate with suppliers for standard equipment and component documentation
- Assist QMR in maintain and update documentation template on QMS related documentation
- Prepare transmittal and submittal to customers, local authority and consultants
- Maintain the inventory record and materials information
- Assist in project coordination
- Assist with office administration
Requirements:
Individuals who meet the following requirements or possess the equivalent combination of competence and experience are invited to apply:
- Minimum 2-3 years construction site experience in administrative capacity
- Effective multi-tasking skills in a fast-paced construction environment
- Excellent organizational and administrative skills with the ability to work independently and in a team environment
- Demonstrate proficiency in Microsoft Office and any other related software
- Strong attention to detail and accuracy
- Strong interpersonal and communication skills
- Good command of both written and spoken English, Chinese and Cantonese
- Experience with foreign countries; collaboration with international teams; exposure in different work/company cultures
- Immediate available is preferably
