Company Overview

KEY RESPONSIBILITIES:

Administrative Tasks:

  • Arrange Initiative for Compliance and Sustainability (ICS) audit schedule with suppliers / factories.
  • Support and follow up the audit schedule initiated by Paris with supplies/factories.
  • Collective Action Plan (CAP) follow up for “C” rated factories by internal CSR team.
  • Support in CSR audit trip arrangement in China including coordination for flight and hotel booking.
  • Keep tracks on ICS and the company's internal audits to avoid duplicate/double audits.
  • Plan and organize meetings and take minutes of meeting.
  • Assist in the preparation of regularly reports including monthly CSR Activity report, CAP Delay report, Color Chart and CSR Team schedule etc.
  • Update and maintain CSR policies and procedures.
  • Keep record related to CSR budget and travel expenses.
  • Act as the point of contact for internal and external clients for all data and analysis.
  • Assist in new projects of CSR such as GAP analysis, training co-ordination, new improvements, environment and sustainability initiatives.
  • Organize meetings related to Zero Tolerance issues found in factories between CSR, Paris and the company's management and follow up action items during meeting; and to communicate with all concern departments if required.
  • Follow up and maintain the signed CSR Code of Conduct documents from suppliers/factories.
  • Maintain full set of signed payment documents from suppliers.
  • Translation of document from Chinese to English, where necessary.
  • Provide clerical support and any otherad-hoc project as assigned by the Manager from time to time.

Data Management:

  • Update the ICS database for the factories – including new factories to be added in ICS, inactive factories to be cleanup and factory integration to be done on time. Handle ICS audit initiation in database.
  • Maintain the record of the factory and supplier profile and ICS factory profile are completed and up-to-date.
  • Maintain and update active suppliers/factories contact lists for each country.
  • Provide 50% support to CSR teammates related to data update and filing.

JOB QUALIFICATIONS & REQUIREMENTS:

  • College graduated or above.
  • At least 5 years of working experience in administrative tasks.
  • Excellent time management skills and the ability to prioritize work.
  • Strong organizational skills with the ability to handle multi-tasks.
  • Attention to details and good problem solving skills.
  • Proficiency in both written and spoken of English and Mandarin.
  • Proficiency in MS office such as outlook, Word, Excel and Chinese word processing.
