The Department
Our Equestrian Affairs Department aims to fulfil the Club’s vision to promote riding as a sport and raise participation at all levels, from beginner through to elite. It oversees the management of four equestrian centres, including the Member’s facility at the Beas River Country Club and three public riding schools at Tuen Mun, Pokfulam and Lei Yue Mun.
We are looking for two new members to join our team - one will be based in the Public Riding School in Lei Yue Mun and the other in Tuen Mun. Occasional travelling to other riding schools, Happy Valley, Shatin and various locations for visits or meetings will be required.
The Job
You will:
- Report directly to the Operations Manager of the Public Riding Schools.
- In collaboration with the Senior Riding Instructor, manage effectively and oversee the smooth running of the riding school, ensuring the best possible use of available resources. Develop operation and service standard procedures and guidelines.
- Anticipate and meet the apparent and underlying needs of customers and respond in an appropriate manner. Committed to provide high quality service to customers and continually seek improvements. Take ownership of customer’s issues and following problems through to resolution.
- Supervise administration team and stable staffs on day-to-day operations, including conducting regular staff meetings and handling staff matters.
- Consolidate and check staff rosters, allowance, and prepare travel or training reimbursements, in compliance with the Club’s policies.
- Co-ordinate with a team of riding instructors for efficient arrangement and management of riding lessons to maximise variety and income whilst ensuring high levels of horse welfare. Ensure transactions are accurately processed and checked in a timely manner.
- Co-ordinate with internal departments and external stakeholders on various matters to ensure the smooth operation of the school e.g. human resources, accounting and monetary, property repair and maintenance, procurement, event programmes, arrangement of horses, audit and statistic reports.
- Plan, organise and promote equestrian activities such open-day, school visits, roadshows, outside visit with external organisers.
- Prepare and analyse budgets, compile accurate monthly management reports, regularly update schools information or website. Be proactive and observes timelines. Assist in consolidating reports or statistics from other public riding schools.
- Work with the departmental safety manager and relevant colleagues to ensure safe working practices are adopted and all Club Occupational Safety and Health Policies are adhered to.
- Fully understand and comply accurately with all operation procedures, policies and guidelines. Ensure all documents and filing records are in good order.
- Monitor fodder, tack shop and other stock items, ordering and maintain stock level.
- Facilitate internal communication and effective distribution of information and policy.
- Undertake any other duties as reasonably directed by management.
About You
You should have:
- A bachelor degree preferably with some background in marketing, sports management and work safety
- At least 5 years’ experience with a minimum of two years working in supervisory role
- Strong leadership with excellent interpersonal and communication skills
- Pleasant personality with a strong customer service aptitude
- Good language proficiency in Chinese and English with excellent report writing and presentation skills; some skills in Putonghua would be advantageous
- Good coordination skills with external and internal parties
- Experience with team management and good team leadership but able to work independently
- Full computer literacy (Microsoft Office including PowerPoint, Excel and wide range of social media platforms)
- Skills in planning resources and associated budget planning and implementation.
- Attention to details; understanding of equestrian sport, with relevant experience in organizing sports or equestrian events will be an advantage
Terms of Employment
The level of employment will be commensurate with qualifications and experience. Candidate with less experience will be considered as Senior Administration Officer.
